Privacy Policy

We're transparent about how we handle your information - just like our design process

Last Updated: October 22, 2025

Look, we get it - nobody actually enjoys reading privacy policies. But since we're asking you to trust us with designing your spaces, figured we should be upfront about how we handle your info. We've tried to keep this as straightforward as possible, because honestly, there's no need for the usual legal mumbo-jumbo.

When you reach out to us or work with us on a project, we'll typically collect:

  • Basic contact stuff - your name, email, phone number, mailing address. Pretty standard, right?
  • Project details - what you're looking to build, budget ranges, timelines, property information. Can't design your dream space without knowing what you're after.
  • Communication records - emails, meeting notes, design feedback. We keep these so we don't forget what you told us three months ago.
  • Financial info - billing details, payment information. Only what's needed to handle invoicing and contracts.
  • Site visit data - photos, measurements, site assessments. The nitty-gritty stuff we need for actual design work.
  • Technical data - IP address, browser type, how you found us. This helps us figure out if our website's actually working properly.

We don't collect anything weird or unnecessary. If we need something specific for your project, we'll ask you directly.

We're not in the business of selling data or spamming people. Here's what we actually do with your info:

  • Deliver our services - design your project, coordinate with contractors, handle permits, all that good stuff.
  • Keep you in the loop - send project updates, schedule meetings, answer your questions. We promise not to bombard you.
  • Handle the business side - contracts, invoicing, payments. Gotta keep the lights on somehow.
  • Improve what we do - learn from projects, refine our approach, make our services better based on real feedback.
  • Legal compliance - building codes, PIPEDA requirements, professional regulations. The stuff we legally have to do.
  • Occasional updates - maybe a newsletter about sustainable building practices or new services. You can opt out anytime - no hard feelings.

Bottom line: we use your info to do our job well and keep you informed. That's it.

We don't just hand out your information to anyone who asks. Here's the short list of who might see it:

Project Partners
  • Contractors and builders - they need project specs and site details to actually build what we design.
  • Engineers and consultants - structural engineers, MEP specialists, landscape architects. The technical crew.
  • Municipal authorities - for permits, zoning approvals, building inspections. Can't get around this one.
  • Suppliers and manufacturers - when we're sourcing specific materials or custom elements for your project.
Service Providers
  • Cloud storage - we use secure platforms to store project files and documentation.
  • Accounting software - for invoicing and financial records.
  • Email and communication tools - gotta communicate somehow.
Legal Requirements

If there's a court order, legal investigation, or regulatory requirement, we might have to share information. Hopefully this never happens, but we're legally obligated if it does.

Important note: Everyone we work with signs confidentiality agreements, and we only share what's absolutely necessary for the work at hand.

We take security seriously - probably more seriously than we take our coffee orders. Here's what we do:

  • Encrypted storage - all digital files are encrypted both in transit and at rest. Translation: they're scrambled so only authorized people can read them.
  • Secure servers - we use reputable, Canadian-based hosting with proper security certifications.
  • Access controls - only team members who actually need access to specific info can get to it.
  • Regular backups - because hard drives fail and accidents happen. Your project data won't disappear.
  • Physical security - locked filing cabinets for paper documents, secured office access.
  • Staff training - everyone on the team knows how to handle sensitive information properly.

Look, no system is 100% bulletproof - anyone who claims that is lying. But we use industry-standard practices and stay on top of security updates.

It's your information, so you've got some control over it. Under Canadian privacy laws (PIPEDA), you can:

Access Your Data

Want to see what information we have about you? Just ask. We'll provide it within 30 days, though we might need to verify your identity first (can't just hand out client data to anyone claiming to be you).

Correct Inaccuracies

If something's wrong - old address, outdated phone number, whatever - let us know and we'll fix it.

Withdraw Consent

Changed your mind about something? You can withdraw consent for certain uses of your data. Just know that this might affect our ability to provide services.

Request Deletion

Want us to delete your info? We can do that, with a couple caveats: we need to keep some records for legal, accounting, and professional liability reasons. Canadian law requires us to maintain project documentation for specific periods.

Opt Out of Marketing

Don't want to hear from us unless it's project-related? Easy - just click unsubscribe on any email or shoot us a message.

To exercise any of these rights, just email us at info@obsidrixrealm.info or give us a call. We're not gonna make you jump through hoops.

We don't keep stuff forever just for the sake of it. Here's the general timeline:

  • Active project data - for the duration of your project plus at least 7 years after completion. This is partly because of professional liability requirements and building code compliance.
  • Financial records - 7 years minimum, as required by Canadian tax law.
  • Marketing contacts - until you ask us to remove you or until we realize you're probably not interested anymore.
  • Inquiry information - if you reached out but didn't proceed with a project, we'll keep basic details for about 2 years in case you circle back.
  • Website analytics - typically aggregated and anonymized after 26 months.

After these periods, we either delete the data or anonymize it so it can't be traced back to you specifically.

Our website uses cookies - those little text files that help websites remember you. Nothing sinister, just practical stuff:

Essential Cookies

These keep the site functioning properly - remembering if you're logged into a portal, maintaining security, that kind of thing. Can't really turn these off without breaking everything.

Analytics Cookies

Help us understand how people use the site - which pages are popular, where folks are getting stuck, whether our portfolio loads properly. We use this to make improvements.

No Third-Party Advertising

We don't use those creepy tracking cookies that follow you around the internet. We're not in the ad business.

You can disable cookies through your browser settings, though some parts of the site might not work as smoothly. Most browsers have a "Do Not Track" option too, which we respect.

Privacy laws and technology change, so we might need to update this policy from time to time. When we do:

  • We'll update the "Last Updated" date at the top
  • For minor tweaks (like clarifying wording), we'll just post the updated version here
  • For significant changes that affect how we handle your data, we'll send you an email heads-up

We're not gonna pull any fast ones. If something material changes, you'll know about it.

We're based in Toronto and primarily work with Canadian clients, but if you're visiting from elsewhere:

Your information will be processed and stored in Canada, subject to Canadian privacy laws (which are pretty solid, honestly). If you're from the EU, you should know that Canada has adequacy status under GDPR, meaning our privacy standards are considered equivalent.

If you're outside Canada and have concerns about how we handle data, feel free to reach out and we'll walk you through it.

Our services aren't directed at anyone under 18, and we don't knowingly collect information from kids. If you're under 18 and interested in architecture, that's awesome - but talk to your parents about reaching out to us.

If we somehow end up with information from someone under 18, we'll delete it as soon as we realize.
